Jennifer, how are you involved with Digital Asset Management?

Right now, I’m serving as the Digital Asset Manager for World Wildlife Fund. And my responsibilities actually encompass several different roles ranging from, say, contract manager, librarian, photo editor to product owner, so kind of a jack of all trades, if you will. And throughout my, I guess, 10 plus year career, I would say that the majority of my roles have been as product owner in some capacity.

Jennifer, how does an independent conservation organization use Digital Asset Management?

So our Digital Asset Management platform is accessible by our entire network. We are a network of approximately 100 offices spanning from Columbia to Myanmar to US to UK. And at this point in time, our library is of photography and video that tells the story of the work that WWF or World Wildlife Fund does. So the way that we work, the DAM team are very small, but I’ll say DAM team works might be a little bit different than how maybe other DAM teams work, in that, we tend to be kind of involved with the full pre-production to kind of post-production processes as well as like the DAM processes of ingestion, cataloging, and distribution.

What our library contains is the commissions, the trips that we send photographers, or filmmakers out into the field, again, to sort of tell the story of World Wildlife Fund’s work. So we actually have commissioned shoots in the library. We also have staff photography, because a lot of our colleagues are working in program science. And so they’re actually out in the field. And part of their research work is to actually document it. So we also have staff photography, in the system as well. Another thing that we have, to a lesser extent, are what we called camera traps. And this is the way that our science folk capture the actions of animals to sort of understand better how we can help conserve their landscapes, and also kind of like, yeah, conserve their landscapes conserve wildlife. So those are sort of and then we also, of course, have licensed images from stock agencies like nature picture library, we used to license from National Geographic or National Geographic Creative, even though they’re I think they’re no longer licensing. So it’s kind of those like, I think four or five buckets of imagery that we’re kind of pulling in from a global network.

There’s different sort of like talents and expertise across the network, the DAM team, and also certain production teams across the network, kind of assist with different processes. And that can be helping with the contract process to make sure that we’re getting the right deliverables from our photographers and filmmakers to kind of helping with the editing process when those assets have been delivered, creating B roll packages, and then of course, and then the processes of actually getting them into the hive or which we call our DAM the hive and getting them distributed. So again, it’s a little bit different in that our DAM work actually extends sort of beyond the management of the DAM into said, like contract processes working with photographers and filmmakers, doing edits, and again, like getting them to the system and then getting them distributed. And the way that our DAM is actually used, for the most part, our DAM is accessible by again, our entire network. If you have a WWF employee, you have access to our DAM so we have approximately 4000 users And so, again, our DAM may be a bit different in that it’s not just utilized by marketing and communications teams across a network. Program staff use it. Science staff use it. Our accounting teams probably use it for if they’re working on something. So it’s very far reaching like our DAM definitely serves our users sort of beyond the marketing and tech teams at WWF.

Jennifer, what are the biggest challenges and successes you’ve seen with Digital Asset Management?

So let’s start with successes. I think what I’ve seen in my time in DAM is that we’ve been rethinking DAM as part of a larger marketing technology ecosystem, which I think that’s been a very positive step for the industry. I think we are thinking about DAM more holistically. And understanding they are programs requiring long term management versus standalone platforms or products, which was more the philosophy when I got started, as I said over 10 years ago, I think we understand more now. I think the industry understands more now that it’s a kind of a people first, technology second initiative, and that it can take a village to make these Digital Asset Management platforms run. And I think that’s all very positive.

That said, DAM program still continue to be undervalued and misunderstood by companies, and therefore, I think they’re still being under resourced. I see large companies, fully resourcing their CMS, their CRM, their social media departments, and other marketing comms tech platforms with teams and budgets. But then they only employ one person to manage all the aspects of the DAM platform. And just to reiterate, these DAM programs take a village to succeed. So I would really like to see the industry help companies set these programs, and the people required to manage them up to succeed.

Jennifer, what advice we’d like to share with DAM professionals and people aspiring to become DAM professionals?

Jennifer Anna 7:42
I would say a few things, I would say learn about the larger marketing communications technology ecosystem, and approach DAM holistically as part of a larger system of processes and people. I would also say you need to be prepared to speak to different stakeholders in their own language about DAM. Change management is a big part of making a DAM program succeed.

That said, I would also say it’s important to set boundaries and expectations. Many DAM jobs, depending on what they are, are actually several jobs in one and you will need to be able to educate your stakeholders about what is possible. Many times when you are coming into a new workplace, you will be the expert. No one else in the organization or company will understand DAM the way that you do. And then I would say the final thing is with that said, know that you don’t need to know everything. Technology changes so fast that we are just really running along with it.

Henrik: This is Another DAM Podcast about Digital Asset Management. I’m Henrik de Gyor. Today I’m speaking with Alex Hauschild. Alex, how are you involved with Digital Asset Management?

Alex: I started out at UCSB Davidson Library working for Salvador Güereña. And he brought me on to do brochures and graphic arts and stuff for him and we hit it off up pretty good and during that time found out that a lot of my imaging experience from previous was what’s going to help him develop what was called a digital library at the time. And we did a couple of pilot projects and went from there and he encouraged me to get the… he tricked me into getting a library and information sciences degree and went from there. I ended up with the UCSB Art Museum doing architecture and design collections.

Worked with California digital library, developing some of their policy and content governance for the California Digital Library and Califas, which is basically a large multicultural archive online. And went from there. Around 2008, ended up going to…moved to Los Angeles, did a little trying to start my own publishing business for a while. They ended up with Motor Trend hot rod trying to save their archive and that was an amazing experience. And from there, just kept going through the entertainment industry, went to Dreamworks and from there Google.

Henrik: Alex, how does a multinational technology company use Digital Asset Management?

Alex: Well, that’s a crazy question. Basically, they use it in multiple different facets. There’s production pipelines. Might have heard the term creative value chains or creative value pipelines and these are basically the production from concept to final assets. And final assets actually can mean several different things. So they’re using Digital Asset Management all the way along the way and sometimes multiple case in multiple ways. They use it in project management and then they use it for distribution. I mean, the short answer is distribution in all cases. That’s what Digital Asset Management is all about. But depending on your user base, it depends on what that distribution is.

Henrik: Alex, What are the biggest challenges and successes you’ve seen with Digital Asset Management?

Alex: That is a question that has two different parts. What are the challenges and successes for me and what are the challenges and successes in the field. For the field, I think what we’re seeing is more of a transition or more of a user-friendly attitude towards content management basically blends brand awareness and brand control with Digital Asset Management. We kind of transitioned into that from content management systems and just being…. seeing the potential for being able to distribute out to multiple users and multiple ways. Especially with… for the web or specifically for the web. For myself, it’s been a long road, so I’ve gone from creating digital library… Digital Asset Management systems before we had a term for them. I used to think of them as digital libraries and then kind of evolving with the industry as it transitioned into, I think basically going into distribution and then getting mixed with legal and I think maybe the challenges and obstacles we faced are now that we’re able to provide organized sets of assets on a massive scale, how can we protect the legal at that point and what kind of interaction with legal and licensing do we want to take? Or we the gatekeepers, are we the organizers? That’s really the fundamentals of the industry right now I think is can we transition as librarians, gatekeepers into a communicative role where we basically are helping users determine whether or not just where something is, but whether or not they can use it, so user control is a big deal now.

Henrik: Alex, what advice would you like to share with DAM professionals and people aspiring to become DAM professionals?

Alex: I mean, depending on which aspect of the industry they want to go in, there’s a big difference between academic and tech…technology fields where I’m at. I would get to know the marketing production, the process of it from content creation, which is at the producer level, at the project manager level and get to know how that works and how those assets are transferred from concept to creatives to postproduction. There’s so many tie-ins from asset producers who are creating images and handing them off multiple ways. Those handoffs become the critical mass for any assets, like who’s getting it, when they’re getting it and those are the timelines that you were working with. I think that those are really the things I would pay attention to if I was starting out. Now it’s can I get more involved in marketing and can I understand the marketing world because they’re the ones really creating these asset banks, really just get to know marketing agencies and how agencies work. It really becomes more of a people process when you understand why and when things are being made.

Henrik de Gyor:  [0:00] This is Another DAM Podcast about Digital Asset Management. I’m Henrik de Gyor. Today I’m speaking with Kate Jordan Gofus. Kate, how are you?

Kate Jordan Gofus:  [0:09] I’m well, how are you?

Henrik:  [0:10] Great. Kate, how are you involved with Digital Asset Management (DAM)?

Kate:  [0:14] I’m the digital librarian for a healthcare software company. My company focuses on and we primarily use videos to help educate patients and empower them in their healthcare journeys. I manage the video library for this company. We’re a pretty small shop, so I’m involved in all phases of the Digital Asset Management process. That includes rights management and vendor relations. I am a client resource. I work with implementation, our product and development teams. I work with our support teams, troubleshooting. We also use a homegrown Digital Asset Management system so I do work with our development team quite a bit.

Henrik:  [0:53] Kate, how does a company focus on interactive software to help hospitals get patients more involved in their own healthcare use Digital Asset Management?

Kate:  [1:01] Because our software solution primarily uses videos to educate and empower patients, we have a large number of videos to manage. This includes version control, distribution, everything about the Digital Asset Management. We have well over a hundred client sites, facilities, hospitals who are using our software platform, and thus, our videos. We use the Digital Asset Management system to centrally manage files, and also metadata, for thousands of videos that are going to the software platforms in these hospitals. The videos are about various topics, ranging from oncology to relaxation content, like nature videos. We use the Digital Asset Management system to manage key wording metadata so we can know what we have available, and also as a means of distributing that in a streamlined and efficient way. Healthcare changes really quickly. We need to be able to update our content in a quick and efficient way and we need to be able to update that content at the hospitals, not just in one place. We use the Digital Asset Management system to do that. The needs of our hospitals vary widely, so we needed a way to be able to distribute what a hospital wants or what a hospital needs specific to that hospital. The Digital Asset Management system allows us to maintain consistency across almost 200 hospitals and also control what is there, what isn’t there. It also has allowed us to support growth. When I started with the company a couple years ago, we had one‑third the number of client hospitals that we do now, and if we were still FTP‑ing video files to all of our hospital sites and then manually configuring the videos…

Henrik:  [2:53] That sounds more painful that way.

Kate:  [laughing] [2:55] My life would be really terrible. Right now we use the Digital Asset Management system to distribute files to all of those sites, and we also distribute the metadata, and the way in which the files and metadata are transferred, eases the configuration process at the individual hospital very much. We are constantly moving more towards automation and improving processes to make this less and less painful. That’s what we use it for, intellectual and physical control of our video files.

Henrik:  [3:26] Kate, what are the biggest challenges and successes you’ve seen with DAM?

Kate:  [3:30] I think that one of the biggest challenges I’ve seen is finding the right tools or system to manage your assets. Every organization is different and is going to have different needs and different ideas of what DAM is and what it can do for them. I have seen purchased DAMs, I have now seen a homegrown DAM, there is always the argument between hosting your own content and having your content hosted externally. I think that it’s really difficult and important to make sure that you’re using the right solution for your needs. I think that one of the challenges is that sometimes people jump into Digital Asset Management without doing a background research first.

[4:11] Another challenge that I’ve seen is people expecting technology to fix everything and to do so immediately. A lot of Digital Asset Management is improving processes and documentation and writing and enforcing rules. That means dealing with people. Sometimes, I will be asked, “But I thought the Digital Asset Management system was supposed to fix this!” The answer is often, “Well, it did fix it. It made it possible, it didn’t make it necessarily instantaneous.” I think that, that is another challenge and that’s a perception thing. We are very lucky that we definitely have buy‑in on our Digital Asset Management system at my organization. We existed for a long time doing the same kind of work without a Digital Asset Management system, so I think there is an appreciation for ours.

[5:00] I also think that a challenge I’ve seen is that organizations are always evolving. Digital Asset Management systems, especially homegrown Digital Asset Management systems, are always evolving. You have customization, you have enhancements, improvements, things like that. It’s a delicate line to walk between improving your DAM and trying to force your DAM to do things that it wasn’t meant to do and shouldn’t do. It’s hard to draw the line sometimes and say, “Well, the DAM could maybe do that, but it’s not the best tool to use for that, and it’s not going to make our DAM better.”

[5:37] Some of the successes we’ve had, using the Digital Asset Management system and using it correctly, has increased our turnaround time on new video content by over a factor of four. It used to take significantly longer when we would get new content from either our partner vendors or from our clients. It used to take a really long time for us to get that loaded on all sites. That’s a big problem in health care because you always want the most up‑to‑date information, patients deserve the most up‑to‑date information. We’ve significantly cut down our turnaround time for loading video content. We’ve also improved consistency and control. I know for a fact that all of my sites have the most up‑to‑date videos that we have. I don’t have to go to every client site, every hospital, to figure that out. I can access all of that information through our Digital Asset Management system because our Digital Asset Management system is linked very closely with the software platforms that are installed at all of our hospitals. It has made it easier to manage the content, its also made it easier to answer questions. Internal and external stake holders have lots of questions about videos and sometimes they want to know if there’s other content available. It makes it easier when I can quickly look at what content they do have so I can tell them what they might want to add.

[7:04] We have almost 200 hospitals. They sometimes want to create their own videos or they have found some relaxation video that they think is really great and they want loaded on their software platform. They submit that to us and we will load it and configure it on their software platform for them. It has to be ingested through the Digital Asset Management system and encoded properly and we need metadata and all of that stuff, but we encourage our hospitals to add any content to their facility that they think will make their patient population happy or improve outcomes for their patient populations. Sometimes, I get questions from one of our hospitals asking if I know about any music programs that their patients may be interested in. I can look in our Digital Asset Management system and say, “Yes, actually. This other facility in a completely different part of the country has found this great vendor that they love and we already have the videos encoded and if you got the licensing rights on your own, through the Digital Asset Management system, I can transfer those to you and you don’t have to get the videos encoded on your own, you don’t have to buy DVDs from anybody, all you need is to give them a call and maybe a PO number.” That makes our clients really happy and it makes patients really happy and that makes me really happy.

Henrik:  [8:23] What advice would you like to share with DAM professionals and people aspiring to become DAM professionals?

Kate:  [8:27] I think that something really important to remember is that a Digital Asset Management system, in my experience, never operates on its own. It’s never the only system that an organization is using. It is often seen as a support system, really. I think that it’s really important to continue to focus on interoperability and making it so that your system plays nicely with others and is not cogging up the works for your organization. I think that’s something that we need to continue to focus on as a DAM community.

[9:03] I also think its really important to focus on sustainability and scalability. We have a homegrown Digital Asset Management system, so I have a lot of input into how our DAM system evolved. That’s good, and that’s also dangerous. We need to make sure that any changes that we make are in the interest of sustainability and scalability so it doesn’t bite us in the bum later. I would say to people who are looking to get into the DAM profession, that you should be tenacious. Just try to fix the problems that you face in your organization as well as you can and recognize that it’s going to take a while and you’re probably going to have to try the same thing over and over a few times. Maybe differently, maybe the same way so that it works. Don’t be discouraged by big wigs who have fancy letters after their name. There are lots of different backgrounds in this field, and you don’t have to have gone to school for Information and Library Science to be good at this job, though I did. I think that, at the end, we’re really trying to fix problems and fixing them along the way. I think that if you are flexible and creative, you’re going to have more success fixing the problems. That’s what I would say.
